Outlook event fields: how each one shows on your website

What to put in each Outlook or Microsoft 365 calendar event field, from title and date to location, categories and images, and how Revisual shows it on your website.

Written by Piotr Poźniak

Revisual builds each event on your website from the event in your Outlook or Microsoft 365 calendar. You don't enter anything twice: fill in the event in Outlook, and Revisual shows it after the next sync.

Outlook field

On your website

Title

The event name

Date and time

When the event happens. All-day events have no time

Repeat

Recurring events, with their upcoming dates

Location

The address, with a Show on map button, or a clickable meeting link

Teams meeting

An Online meeting section with a Join meeting button

Calendar

Which calendar the event is in. Use it to filter events

Categories

The event's colour, and a way to filter events

Description

Text, video players and a call-to-action button

Attachment

The cover image

Title

Keep it short and clear: it's the first thing visitors read, often on a small card or a phone. Put the most important words first, for example "Yoga for beginners" rather than "Tuesday evening session: yoga for beginners".

Date and time

Set when the event starts and ends. For an event without a set time, turn on All day. Revisual shows it without a time.

Recurring events

For an event that repeats, set how often it repeats in Outlook. Recurring events work the same as with Google Calendar. On your website you can:

Location

Type an address or a venue name. On your website, the event details show the address with a Show on map button.

Online events

There are two ways to add an online meeting.

Turn on Teams meeting in Outlook. Revisual adds an Online meeting section to the event details, with the meeting link, a copy button and a Join meeting button. Outlook also adds the joining details to the description, so they show there too.

Or put a meeting link in the location. Any meeting link works, for example Teams, Zoom or Google Meet. Revisual shows it as a link under Location, instead of the Show on map button.

Calendar

The calendar you put the event in decides where it can show: you can filter widgets by calendar. See How to choose which events show on your website (filters).

Categories

Give an event a category in Outlook to colour it and to group it. On your website:

Description

Write what visitors need to know: what happens, who it's for, the price and how to book.

  • Videos: a YouTube or Vimeo link becomes a video player. To show plain links instead, turn off Turn video links into preview on the Design tab, under Events › Details enhancement.

  • Call-to-action button: the first or the last link in the description can become a button, such as Book your seat. Choose which in the call-to-action settings on the Design tab.

  • Hide the button's link: the link also stays in the description. To show it only as the button, turn on Hide description links matching the CTA button on the Design tab, under Events › Details enhancement.

Tip: if the description has a video link and a booking link, put the booking link where the button takes it from. If the button uses the last link, put the booking link after the video link.

Attachment (cover image)

The first image attached to the event becomes its cover image. Attach it with the paperclip in Outlook, don't paste it into the description. See How to add images to Outlook calendar events.
